1. General:
Charity work is a humanitarian aid for the human dependent that plays vital role in the societies, therefore, Myagdi overseas Nepalese Association UK (MONA UK) is going to organise a charity lunch for the MONA UK Ambulance project on Saturday 17 December 2011 at Oak Farm Community School, Farnborough, Hampshire, GU14 8SS. MONA UK is going to send 2x Ambulances to our beloved district Myagdi.
2. Aim:
The aim of this instruction is to set up the entire administrations requirement prior to the charity Lunch starts in order to make a successful charity Lunch for the MONA UK for supporting MONA UK Ambulances project.
3. Preparation:
The preparation will be carrying out on Saturday 17 December 2010 from 1400hrs. Members of Farnborough, Executive members, Chairmen of the VDCs, Advisors and all action addresses are requested to attend on the above date and time at Oak Farm School for the preparation.
4. Timing:
The following timings are breaking down for the above event:
1400hrs Preparation starts.
1600hrs Party starts.
1700hrs Guests arrive.
1710hrs Starter serves.
1720hrs H & S brief by Nil Purja (Asst secretary).
1730hrs Chaired the guests by Bhim Purja (Secretary)
11735hrs Welcome speeches by Uttam Khatri (Dhruba) (vice president I)
1740hrs Speeches by Dut Pun (Charity dinner co-ordinator)
1745hrs Speeches by Kamal Purja (Chief co-ordinator ambulance project of MONA).
11750hrs Speeches by Kul Acharya (especial chief guest Chairman NRN UK)
1755hrs Speeches by Dr Suresh Chandra Chalise (Chief Guest Ambassador of Nepal for UK)
1805hrs Speeches by Yog Phagami (Chairman of MONA UK) followed by presentation and felicitation.
1900hrs Entertainment starts.
2000hrs Lunch serves.
2000hrs DJ starts Tanka Sherchan.
2200hrs Party finishes.
5. Official tasking:
Mr Bhim Purja (Secretary) and Mr. Nil Purja (Asst Secretary) are requested to organise the following official tasking for the above charity dinner:
· Publish a full programme for the charity dinner including cultural programme.
· Organise the felicitations letters and certificates for the felicitators and artists.
· Collection names and sending invitation to guests and felicitators.
· Collecting names those members to be awarded and inform them.
· Organising badges, tools, backdrops, decoration the stage,
· Allocation of table’s numbers and displayed name list at the entrance.
· Decoration tables and display menu for the day.
6. PA system:
Mr. Kishore Pun (Miteri Band) is requested to book PA system however Mr Tanka Sherchan is requested to operate the PA system for the above day.
7. Drink stall:
YBC catering is requested to organise drink stall for the above day. Drink will be selling in cash hand basis.
9. Food:
Mr. Yogen Chhetri (patron) is requested to arrange the following food items for the above charity dinner:
· Tits bits or starter :
o Aludam
o Bhutuwa
o Samosai
· Main course
o Rice pulau.
o Rice plain.
o Dal and chutney.
o Pork curry and Chicken curry.
o Mix vegetables.
o Papard, salt, green chillies, salads etc.
· Desert
o Ice cream
o Tea and coffee.
The above foods will be supplying from food supplier or restaurants however you are requested to liaise with Dut Pun (Chief co-ordinator charity dinner) for further detail.
10. Gate control/Ticket:
Mr. Prakash Poudel (Treasurer) and Mr. Kishan Baniya (Asst Treasurer) are requested to organise reception control and tickets for the day. Ticket price will be £25 each and 8x people to be booked each table. You are requested to distribute tickets and book the tables for the following personnel from different VDC of Myagdi they are:

11. Security:
Mr. Yogen Chetri is requested to organise security and steward for the day. The following members will assist you they are:

12. Cultural Programme
Mr. Rambahadur Tilija is requested to organise the cultural programme for the above charity dinner. You are requested to include the following items:
· 3x item including thali dance.
· 5x item morden song dance.

13. Health and safety:
Mr. Nilbahadur Purja (Asst Secretary) is requested to act as a health and safety officer and brief a short health and safety brief before the programme start on the above charity dinner day.
14. Summaries:
MONA UK charity dinner is a one of the important event within the MONA UK. Without your support this event would not be successful. Patrons, Advisors, Executive members, Chairmen of the VDCs, and all action addresses are requested to support to the Charity Lunch in order to the charity event would be a successful, memorable. The pride, dignity and credit will go to MONA UK.
